MINIMUM QUALIFICATION & REQUIREMENT 

  • Diploma in relevant field (or)
  • O’Level with minimum 3 years of experience in relevant field.
  • Experience will be considered only upon submission of an official reference letter explicitly stating the duration of employment.


OVERALL SCOPE

Responsible to carry out the administrative works with respect to the implementation and execution of projects under the guidance of the supervisor.


SCOPE OF WORK 

  • Track and record daily correspondence, handling all the incoming and outgoing communication and keeping supervisor(s) informed.
  • Supervise project administrative team and track the status/progress of daily correspondence and prepare reports accordingly.
  • Assist and/or prepare technical reports, Committee/Board papers and other reports as required. 
  • Prepare memos/letters/reports or any other documents as required by the supervisor. 
  • Assist the team to manage the contracts and meeting the contractual deadlines/ milestones. 
  • Organizing and documenting project monitoring meetings. 
  • Record minutes of meetings and follow-up on the issues raised. 
  • Arrange and coordinate the negotiation and signing process of contract amendments/addend urns. 
  • Assist in carrying out project implementation activities.


JOB SKILLS AND SPECIFICATIONS

  • Should be familiar with Microsoft office package and any other software relevant. 
  • Should be an effectual communicator verbally as well as through writing skills.
  • Knowledge in construction field will be an added advantage. 
  • Familiar with project management skills. 
  • Should be well organized, detail-oriented, forward-thinking and proactive. 
  • Strong interpersonal skills; should be a good listener and able to give most effective solution required at the time. 
  • Discretion and need for confidentiality. 
  • Able to deliver effective results, meet tight deadlines and targets. 
  • Able to manage time and stress effectively.
  • Knowledge of administration and clerical work.
